@HE VICAR - Cash Entry
9.0 GENERAL DESCRIPTION
The Purpose of this section is to allow the user to Enter and
Edit Cash Transactions against invoices in the individual
customer accounts and post them to the Transaction File.
Cash Entry is performed by selecting:

from the Main Program Menu. Once selected, the Following menu
will be displayed:

SELECTION DESCRIPTIONS:
9.1 ADD TRANSACTIONS - Used to enter all Cash Transactions
(in the case of Apply-To Accounts, Apply them to their
respective Invoice Transactions) to be posted to customer
accounts. The information is entered as follows:
Check Number - The check number of the specific
transaction, or in the case of a Cash Transaction, "CASH"
can be entered in its place (or anything else the user
might want, to indicate Cash). This "Reference" is used
to search for transactions in the Cash Transaction File.
Check Date - Date of the Cash receipt itself or Date of
Entry, whichever is customary to the user. If this Date
is +/- 15 days from the current system date, an error
message will be displayed and the user will be required
to enter the Date again, if for some reason the date
needed is outside this range the user can press the Alt-F9
key to accept the date as entered. The date is entered in
the format: "MM/DD/YY" eg. January 12, 1991 is: "01/12/91".
Account Number - Account number of the customer to which
the transaction is to be posted to. Once the customer
number is entered, if it is a valid number, the
customer's name will be shown on the screen. If it is
NOT a valid number an error message will be displayed.
Check Amount - The amount of the Cash or Check payment
alone to be credited to the customers account.
Discount Allowed - The amount of any discount allowed the
customer (as determined by the user) to be given to the
customer upon payment.

Add Transactions - Continued.
Total Credit - The total amount of credit to be posted
towards the customers account for this transaction,
(Total Credit = Check Amount + Discount Allowed).

Apply-To - Only for Open Item Accounts. When a payment
only applies to a single transaction, the Invoice Number
(Reference number) can be entered here directly. To see
the available transactions for this customer, press the
F6 key (for Scroll Down) and a Window will open in the
middle of the screen as shown in Figure 9.1b, displaying the
first available transaction if any. The applicable function
keys for this window are:
F6 - Scroll Down available transaction list.
F7 - Scroll Up available transaction list.
Shft-F6 - "Page Down transaction list.
Shft-F7 - "Page Up transaction list.
F8 - Multiple Apply-To (See Next section for description).
F4 - Apply to Currently "Selected" transaction in list.
Once the needed transaction is "Selected", press the F4
key and the transaction will be "plugged" into the
Apply-To field automatically and you are done.
Multiple Apply-To - This special function is used to apply a
single payment to multiple transactions, without having to
re-enter all the basic information for the transaciton more
than once. To select Multiple Apply To, Press the F8 key
while in the Apply-to Field, an additional line of
information will be displayed below the original cash entry
fields, they are:
Cash Amount - The same as described above, but in this
case for the specific transaction that is being
applied-to. Pressing F4 in this field will cause the
amount of the "Selected" transaction to appear in this
field, up to the amount of Total Credit shown.
Discount Amount - The portion of the discount allowed to
be applied to the "Selected" transaction. For ease of use
apply as much of the allowed discount to the first
Transaction as possible, this will alleviate having to
apply it in peices to multiple transactions. Pressing F4
in this field has no effect.
Total Amount - The total amount of credit to be applied
to the currently "Selected" transaction (Total Amount =
Cash Amount + Discount Amount). *** Non-Editable Field.

9.2 SEARCH/EDIT TRANSACTIONS - The same as above, with the
following exceptions:
- Keys: F3 & F5 are available to allow the user to "Page"
through the transactions in the Cash Entry File. If you
make any changes to a transaction while using the F3 & F5
keys, make sure to press the F2 key before moving on to the
next record or ESCaping out.
- Changing either the Customer Number Field or Invoice
Number field will prevent you from being able to utilize the
F3 & F5 keys after you save the changes made to the transaction
in the Search/Edit Funciton because the Index is changed and
the location in the index is lost due to this operation.
- Pressing the <F4> key in the Customer Number Field will
bring up an appropriate Scrolling Window to allow the user to
select the needed data.
NOTE - Available only in the registered version.
- Each of the cash transactions is broken into individual
transactions for each of its Apply-To's.
Eg. if Check #123 for $130.00 is Applied to the following
transactions:
I 1000 for: $25.00 I 1001 for: $30.00
I 1002 for: $35.00 I 1003 for: $40.00
The original check transaction is broken up into the following
individual transactions:
#123 for: $25.00 to I 1000 #123 for: $30.00 to I 1001
#123 for: $35.00 to I 1002 #123 for: $40.00 to I 1003
Therefore, when searching through the Cash entry File make
sure to check the apply-to indicated to insure editing the
correct transaction.
9.3 EDIT LIST - PRINT - This Function allows the user to
print an Edit list of all the transactions entered in the Cash
Entry File to check for errors, etc.
9.4 POST ENTRIES - This Function allows the user to Post the
transactions to the Main Transaction File from the Cash Entry
File. Once Posted, a Posting Journal will be printed, with an
additional listing at the end of all G/L Accounts affected by
the posting, including their respective amounts and a control
Total.
